Tasks & Execution
Learn how to create, manage, and complete tasks to make progress on your projects in Kindship.
Tasks are where work gets done. They're the concrete actions that move projects forward and achieve objectives. This guide covers how to create, manage, and complete tasks effectively.
What Makes a Good Task
Effective tasks are:
Actionable
You should be able to start immediately. "Figure out marketing" isn't actionable. "Research three competitor marketing strategies" is.
Specific
Clear about what needs to happen. You should know when it's done.
Right-sized
Big enough to be meaningful, small enough to complete in a reasonable time. Most tasks should take minutes to hours, not days.
Connected
Linked to a project. Orphan tasks without context are hard to prioritize.
Creating Tasks
Through Chat
Tell your agent what needs to happen:
"Add a task to review the sales proposal under the client outreach project"
"Create three tasks for the user research project: schedule interviews, prepare questions, set up recording equipment"
Through the Planning Interface
Navigate to a project and add tasks directly. Fill in:
- Task name
- Description (optional but helpful)
- Due date (if applicable)
- Priority (if using)
From Conversations
As you discuss work with your agent, tasks often emerge naturally:
You: We need to send the proposal before the meeting Friday.
Agent: I'll add a task "Send proposal to client" with a Friday deadline under the client outreach project.
Managing Tasks
Task Status
Tasks move through stages:
- Pending — Not started yet
- In Progress — Currently being worked on
- Completed — Finished
Update status as you work:
"Mark the user interview task as in progress" "Complete the proposal review task"
Task Priority
When you have many tasks, prioritize:
- High priority — Must do soon, significant impact
- Medium priority — Should do, important but flexible
- Low priority — Nice to have, do when time allows
Ask your agent for help prioritizing:
"What are the most important tasks I should focus on today?"
Task Due Dates
Deadlines help you plan:
"The client proposal is due Friday — set that as the deadline"
Your agent can remind you about upcoming deadlines and help you plan your time.
Task Dependencies
Some tasks depend on others:
"The launch announcement task can't start until the feature is deployed"
Note dependencies so you work in the right order.
Daily Execution
Planning Your Day
Start your day by reviewing tasks:
"What should I focus on today?"
Your agent will suggest tasks based on deadlines, priorities, and your recent work.
During Work
Update status as you progress. This keeps your agent informed and your plan accurate.
"I'm starting work on the pricing research task" "Finished the competitor analysis — what's next?"
End of Day
Review what you accomplished:
"Let's wrap up — what did I complete today?"
Your agent will summarize progress and note what's coming up.
Working with Your Agent
Getting Recommendations
"I have two hours before my meeting. What can I accomplish?"
Your agent will suggest tasks that fit the time available.
Unblocking Yourself
"I'm stuck on the market research task. Can you help?"
Your agent will help you break through blockers or identify alternatives.
Adjusting Plans
"I can't finish the report today. Push it to tomorrow and reprioritize."
Your agent will update your plan and adjust other items as needed.
Bulk Updates
"Mark all the preparation tasks as complete"
Your agent handles multiple updates at once.
Task Patterns
Breaking Down Complex Work
When a task feels too big, break it down:
Too big: "Create marketing strategy"
Broken down:
- Research competitor marketing approaches
- Identify target audience segments
- Draft messaging framework
- Choose initial channels
- Create 30-day launch plan
Handling Recurring Tasks
For things you do regularly:
"Add a weekly task to review analytics every Monday"
Your agent can help you set up recurring tasks.
Quick Captures
When ideas come up, capture them quickly:
"Quick task: Follow up with Sarah about the partnership"
Sort into projects and prioritize later.
Tips for Effective Task Management
Do the Hard Things First
Tackle challenging tasks when your energy is high. Save routine work for lower-energy times.
One Task at a Time
Focus on completing one task before starting another. Partial progress on many tasks is less valuable than completing a few.
Review Regularly
Check your task list daily. Weekly, review with your agent to clean up completed items and plan ahead.
Don't Over-Plan
You don't need to list every possible task. Plan a few days ahead; let the rest emerge as you work.
Celebrate Progress
Completing tasks feels good. Acknowledge your progress — it builds momentum.
Troubleshooting
Too Many Tasks
If your list is overwhelming:
- Prioritize ruthlessly — what actually matters?
- Delete tasks that no longer make sense
- Consolidate similar small tasks
- Push non-urgent items to a "someday" list
Tasks Sitting Undone
If tasks aren't getting done:
- Is the task too big? Break it down
- Is it unclear? Add more detail
- Is it even important? Maybe delete it
- Is something blocking you? Address the blocker
Constant Reprioritizing
If priorities change constantly:
- Check if your objectives are clear
- Discuss with your agent what's driving changes
- Consider if you're reactive instead of proactive
